Part 2: Risk Assessment by group or section leaders


Group or section leaders should ensure their attendees are aware of the arrangements for the Centre as a whole (part 1 above). They should make use of any specific advice relevant to their activity, from government but also national specialist bodies or ‘umbrella’ organisations. Note that for gym, dance, and sport activities, special guidance applies, and the capacity numbers given in part 1 are unlikely to be appropriate. Group or section leaders may provide this information in another format. They are encouraged to liaise with the Centre Manager before finalising the Risk Assessment, and larger or more complex groups may wish to visit to plan arrangements for the space.


2a. Social Distancing at 2m Mitigation measures and comments

Setting maximum number of participants Club membership is currently 21. We will rent the larger Fox Room so that the max attendance will always be below the room capacity for 2m social distancing.

Hygiene (What sort of activities? Confirm attendees are healthy each time. How to remind attendees?) At point of entry all members, guests, guest speakers & judges will be asked appropriate health questions. Such as “Do you feel well? Are you displaying any Covid 19 symptoms?”

The club will make hand sanitiser available & ask all attendees to use it, both on entry and exit from the meeting. Record keeping of attendees A record of ALL attendees at the weekly meetings will be routinely kept. This will be available for track and trace purposes if required.

Cleaning (Clean surfaces at end of session. Any specific equipment used also needs cleaning.) Appropriate cleaning products such as anti-bacterial wipes will be used to wipe down the club laptop, projector and any other equipment used at the end of each meeting.

Reducing risk of airborne transmission (Minimising noise etc) Chairs and tables & any equipment will be set out to comply with 2m social distancing. Wearing of masks will be optional unless Government guidelines change. Spare unused masks will be available for members to use

Other risks Regular emails will be sent to members, guest speakers & judges reminding them of the clubs Covid 19 mitigation measures & asking them not to attend if they feel unwell or display symptoms.

WHITTON PHOTOGRAPHIC CLUB TREASURER’S REPORT AGM 21-09-2020.


The club has had no income since 17th March 2020 our last meeting before the lockdown. We generally cover our room hire cost each week with between £10 and £25 extra left over. This is how we build our reserves in order to purchase items such as the new laptop and the projector as well as fixed annual costs. However in September 2019 we had two weeks where we did not cover our costs as attendance was low.


Our reserves are healthy despite having no Income since 17th March. Our reserves at the end of July 2020 stood at £842.


Annual outgoings are as follows: Room Hire – Hewitt Room £35.10 for two and a half hours. £12.30 per hour

Fox Room £39.50 for two and a half hours. £15.80 per hour

Website – Hosting £28.66 Domain £9.59 Online Sitebuilder and management software £43.06

Website total annual cost - £81.31

Public Liability Insurance – Royal and Sun Alliance Arranged through Darwin Clayton brokers- £23.40

Fees to Judges varies - usually between £10 and £25

Fees to Surrey Photographic Association. Fees have been waived for this financial year.

Covid Lockdown:

Zoom meetings × 5 £72.95 (£14.59 each)

Hand Sanitizer £18.77

Judges Charity Donations £20+£15 = £35

Food costs for our social evening on the 7th September- not yet known.

I believe that we will stay financially healthy despite having to pay more for the Fox room.
